5:30pm – 8:30pm Workshop J: Leveraging Workflow and Document Management Technologies to Achieve Greater Efficiencies in Shared Services

Technology as an enabler in the shared services environment clearly leads to additional efficiencies in processes allowing companies to recognize the resulting cost savings. This workshop will look at not only the technologies that are available to help achieve these efficiencies but also the philosophy behind the workflow concepts so that you can maximize any ROI from additional spend on technology. The workshop will cover the following topics and provide real live case study examples of what a robust document management and workflow process can achieve. This session has been designed for Shared Service Organizations with high throughputs. Topics that will be presented, discussed and worked through include:

Stage One: Understanding your workflow

  • Clearly defining informational inputs and outputs
  • Effectively dealing with variable flow – mitigating the peaks and the troughs
  • Identifying bottlenecks and implementing backup scenarios

Stage Two: Measuring workflow and setting performance indicators

  • Setting quality standards and criteria to counter pure speed based criteria
  • Putting measures to the flow – gathering the information to understand current performance and comparing it to ideal performance

Stage Three: looking for incremental improvements

Once you have established your workflow the next task is to look at what document management systems can do for you
